QUARTERLY REPORT
You will be asked to provide a SIMPLE quarterly report on your progress. You need to know just TWO NUMBERS to complete this report:
- The total number of Materials (holdings) in your Spectrum database.
- The total number of new barcode labels you have used.
How to get These Two Numbers
- The total number of Materials (holdings) in your Spectrum database. Spectrum can give you this number by running the “Materials Number Report.” If you are not familiar with this report, here is how to run it:
How to create the Materials Number Report
1. In the Navigator toolbar, click the Reports button, then choose Material Reports > Materials. The Material Reports window opens with the Materials report selected in the Report box.
2. Select the “Material Number” index in the Index box.
3. To set the range of data to include in the report, choose the number “1” in the Start Box. The End Box should default to the largest number in the database.
4. Click the Options button to open the “Material Reports Options” Window. Choose the “Short Form Report. ”Click "OK" to return to the Material Reports window.
5. Click "Create." A browser window opens and displays the report. Scroll down to the bottom of the report to find “Summary.”
6. You will find the “Number of Materials.” This is the number you should report on your quarterly report.
7. When you are done viewing or printing the report, click the close button in the upper right.
- The total number of new barcode labels you have used. There is no report from Spectrum that will give you this number (at least not easily.)
There IS a SIMPLE way for you to get this number. Notice that the labels are numbered sequentially. IF you keep your barcode labels in the order they were sent and use them sequentially, all you will need to do is look at the last barcode you used and you will know the total number of new barcode labels you have used.
SO KEEP YOUR BARCODES IN ORDER AND USE THEM SEQUENTIALLY. THIS CAN BE TRICKY SINCE MORE THAN ONE PERSON IS USING THE LABELS. DON’T KEEP SEPARATE PILES OF LABELS FOR EACH PERSON. KEEP JUST ONE PILE OF LABELS IN ORDER AND MAKE SURE EVERYONE TAKES LABELS FROM THAT PILE IN SEQENTIAL ORDER.
