State Library Meeting Room Policy

Please read the following meeting room regulations for categories B & C
Rooms may be scheduled for the following groups and with the advance requirements indicated; all rooms are subject to availability:
- Category B: Department of Community and Culture and Utah State Office of Education Events (72 hours notice).
- Category C: Other government entities (4 weeks notice / rooms may not be booked more than 3 months in advance).
- Group size must be limited to the maximum number shown in each Room Information Profile.
- Parking is available at the East Parking Lot. Parking is prohibited in patron zones, bus zones, fire lanes, and disabled parking spaces (except with permit).
- Room Operating Hours are 7:30 AM to 6:00 PM Monday through Thursday, except State Holidays. The Designated Representative of the group must be in attendance at all times.
- A TV, VCR, Overhead Projector (for transparencies), and Internet connection is available for Reservation. Please indicate a request for these items on the Room Reservation Form. We do not provide any other room amenities.
- Courtesy phones are available in conference rooms and building foyers.
- The Designated Representative and their organization are responsible for the reasonable care of rooms, furnishings, and equipment, the rearrangement of tables and chairs, and the return of the room to the condition it was in before the meeting. See illustration on wall near door for original room design.
- Do not attempt to operate movable walls; nothing may be affixed to building walls. Velcro strips and special poster tape are available on request.
- No alcoholic beverages are allowed in any of the rooms at any time.
- Food and Beverages are allowed in all rooms. Group members may use the vending machines in Room 203, but may not use any kitchen items. No kitchen facilities are available. No table covers, plates, napkins, glasses, or utensils are provided.
- Adherence to the Fire Code agreement is required. All meeting participants must exit the building during a fire alarm. Failure to do so will result in a fine being issued to the Designated Representative who will then be responsible for restitution of the amount owed.
